Co-op ditches paper defect reports, cuts admin time and saves £21,000

Fleet managers know how quickly paperwork, defect reporting and workshop admin can spiral out of control, especially across large, multi-site operations. For Co-op’s food distribution fleet, handwritten defect reports and manual processes were soaking up time, slowing repairs and adding unnecessary cost.

By switching to r2c's simple digital system for defect reporting and maintenance tracking, the business was able to streamline daily fleet management and save over £21,000 a year in labour and paper costs.

The challenge was finding a system that could work consistently across multiple locations, cope with temporary staff and be implemented quickly without heavy training requirements. The cloud-based system was rolled out across sites in just 10 days, giving managers real-time visibility of vehicle health and a single digital vehicle file accessible from anywhere.

Co-op is now saving over £21,000 per year in labour time and paper costs alone, while also reducing admin workload and improving workshop productivity and efficiency.

Alex Scott, Transport Manager at Co-op, said: “We have a vast, multi-layered and complex fleet. r2c has effectively reduced our admin time, with an overview of fleet health right at your fingertips. Per year, we are saving £21,000 in labour time and paper costs.”
