As more fleets electrify, home charging has become one of the biggest operational challenges facing fleet managers. According to EV charging platform Paua, reimbursement isn't simply about paying drivers back for electricity. It's about creating a process that is fair, accurate and scalable as fleets grow.
Do build reimbursement into your EV strategy from the outset, rather than treating it as an afterthought. Manual processes may work for a handful of vehicles, but quickly become unmanageable as fleets expand.
Do recognise that every driver is different. Electricity tariffs, charging habits and mileage vary considerably, so a one-size-fits-all policy can leave some employees overcompensated and others out of pocket.
Do collect the right data. Accurate reimbursement depends on understanding energy used, charging costs and business mileage, supported by clear audit trails.
Don't assume EV reimbursement works like fuel reimbursement. Electricity prices fluctuate, charging takes place across home, workplace and public networks, and private and business charging must be separated.
Don't rely solely on spreadsheets or flat-rate calculations if your fleet is growing. Paua argues that automation, clear policies and connected charging data become increasingly important as organisations scale.
