Better Fleet: What effective driver performance management actually looks like

Fleets that get more value from driver data augment the scores they already collect, building a broader view around them that connects behaviour to how the fleet actually runs. 

Link behaviour to cost

The most important shift is connecting driving patterns to real outcomes.

Fuel consumption, tyre life, servicing frequency and downtime all provide context that a score alone cannot. Once behaviour is tied to cost, performance becomes much easier to act on.

Some platforms now allow fleets to weight driver metrics based on what matters most, whether that is fuel efficiency, safety or vehicle wear, rather than treating every behaviour equally.

Move beyond a single headline score

A single number is easy to read, but limited.

Stronger fleets track multiple dimensions such as safety, efficiency, vehicle health and utilisation. This builds a more complete picture of performance across the operation.

Bring data into one place

This is where many fleets start to see tangible gains.

When telematics, maintenance, routing and compliance data sit in one system, performance becomes easier to understand and act on. It removes the need to interpret separate reports and helps create a clearer, more consistent view.

A good example of this comes from Microlise customer Fine Lady Bakeries, which set out to move away from multiple disconnected systems.

Operating at scale, with around 50 daily deliveries, 3.2 million miles a year and 82 trailers, the business needed a more joined up approach.

By bringing performance, journey management and vehicle data together:

  • £80,000 plus in potential annual servicing costs were avoided through improved trailer brake monitoring
  • vehicle downtime was reduced by avoiding unnecessary off road testing
  • fuel efficiency improved through better driving styles
  • accidents and at fault claims were reduced through enhanced safety visibility

The key change wasn't introducing a new score, but creating a consistent view of performance across the operation.

Shift from reporting to intervention

Monthly reporting has its place, but it doesn't change behaviour on its own.

More effective fleets use real time alerts, post trip feedback and targeted coaching to intervene earlier. The goal is to correct behaviour before it becomes a cost issue.

Give drivers visibility

Drivers engage more when they can see their own performance.

Access to scores, trends and specific events helps drivers understand where they are losing points and how to improve. This tends to drive more consistent behaviour change over time.

Geotab talks about 'gamifying' performance. Tools like theirs use scorecards, rankings and rewards to turn performance into something drivers actively track and improve, rather than something reviewed after the fact.

Feed performance into operations

This is where things start to move forward.

Driver data is increasingly being used to influence route planning, scheduling, vehicle allocation and maintenance timing. It becomes part of how the fleet runs, not just how it reviews performance.

For example, a fleet might assign:

  • its most fuel-efficient drivers to longer motorway routes where consistency matters
  • lower-risk drivers to high-density urban routes with more hazards
  • drivers with smoother braking profiles to vehicles with higher tyre or maintenance sensitivity

Address grey fleet where possible

Even partial visibility improves consistency.

Where fleets can bring grey fleet into the same framework through policy, tools or reporting, it reduces risk and creates a more complete performance picture.
