Start with one reliable fleet record
Fleet managers first need a dependable view of the vehicles and drivers they are responsible for.
That should make it easy to establish:
- Which vehicles are operated
- Who is driving them
- Their maintenance and compliance status
- What they are costing
- What actions are approaching

- This driver has not completed a required check.
- This vehicle's mileage has increased unusually quickly.
- This repair needs authorisation.
- This vehicle has been underused.
- The system should direct attention towards the areas where management intervention will make a difference.
Match the technology to the fleet
A 30-vehicle operation does not necessarily need the same technology as a fleet running 3000 vehicles across multiple sites.
Of course, the right level of software depends on details such as fleet size, vehicle types, operating complexity, compliance requirements, number of sites, or available fleet resource.
However, the objective is to have enough technology to make the operation easier to control, rather than having the most sophisticated technology stack.
Once that principle is clear, choosing software becomes much simpler.
